Office systems:

One of the first things that we decided was that we had to create a good filing system and back up system to enable us to work effectively and safe guard ourselves against losing our work.

Firstly we decided on a filing system. This basically worked that each time we saved our project we would create a new file by saving as: date.month_hours(24 hour time).minutes. This would all be saved within a purpose built Kanazawa folder which both of us had on our I: drives.

Once we had completed the individual component of modeling our building and had successfully merged the two halves, we began saving with an “m” infront of our original file titles to differentiate models. From this point on we worked on the same model. Whenever one of us was working on this model, at the end of each session a copy would be made onto disk which was then put in a common area, accessible to both of us. This was done as well as our standard back up procedure. This way we each had access to the merged document, and also knew when one of us was working on the model. This seemed to be a much better option than either placing our large file onto the temp drive, or simply both of us using on persons I: drive.

For our 3d models to take into viz we added a viz onto the front of our file name. A new folder was also created to hold all final renders. This would hopefully make transferring renders onto our web page an easier job.

Our back up system incorporated 3 rewriteable disks which were rotated and saved onto each day, and then once a week a copy of all our files would be made onto a permanent back up disk. When a file became outdated, i.e. older than 3 weeks, the older files would be deleted from our I: drives, but would always exist within our backup system. This way we could limit the amount of disk space taken up by unnecessary versions of our project.
